The CharityTracker/Oasis Insight technical team recommends the following compatible devices to be used with our solutions. Please note that other models or devices may work well but have not yet been tested with the system.
Barcode Scanners – To Scan client ID Card and assistance barcodes:
PLEASE NOTE: FOR WIRELESS SCANNERS THAT OFFER A BLUETOOTH CONNECTION, IT IS NOT ADVISABLE TO USE BLUETOOTH MODE. IT IS THE SLOWEST CONNECTION. USE THE "DONGLE" FOR OPTIMUM PERFORMANCE.
Also NOTE: Linear scanners WILL SCAN barcodes displayed on a phone or computer screen. Laser scanners WILL NOT SCAN barcodes displayed on a phone or computer screen.
Here is a list of scanners we have tested:
Zebra Symbol LI4278 Wireless Barcode Scanner (Will Scan barcodes on a screen)
Symbol LS 4208 Laser Barcode Scanner with USB Cable (corded) (Will NOT scan barcodes on a screen)
Zebra LI 2208 Linear Scanner (corded) (Will scan barcodes on a screen)
NADAMOO Wireless Scanner (Will NOT scan barcodes on a screen)
Uploading a Client Photo
Open any client's Case and click the [Add Photo] button found on the right-side of the Case screen (see screenshot here).
Click either [Use My Webcam] or [Upload an Image] option (see screenshot here).
That's it!
ID Cards - Our team's goal was to create a way to print client ID cards in an inexpensive way so there would not be a large cost barrier to implement the barcode scanning tools. There are two ways to print ID’s:
1) One-by-one printed on a regular 8 1/2" x 11" standard sheet of paper or card stock from your printer:
Open a client's Case.
Click the [PRINT ID CARD] link found in the bottom-right corner of the screen (see screenshot here).
Click the [Print] button in the top-right corner (see screenshot here).
2) Print off ID cards in a "batch" using the "Avery Business Card 8371" template: Avery Business Card 8371 Template (pack of 250) ~$10/each
Once your Cases have been entered, visit your [My Agency] tab.
Click on the [Reports] sub-tab
Under your report options, you should see a custom report called "Multiple ID Cards – Avery 8371"-- Click on it and set your parameters just as you would a "Cases" report.
Once you run your report, click the "Add to Saved Reports" link in your Recent Reports, to move it up to your Saved Reports.
Make sure your printer is set-up with the Avery business card templates before clicking Print, and feed your printer one sheet at a time.
More Hardware Possibilities
Laminator Machine - For extra protection, a member agency could invest in a business card laminator machine:
Swingline GBC Thermal Laminator 1100L ~$62/each
Scotch Thermal Pouches Business Card (pack of 100) ~$15/each
Webcam- Client photos can be taken with a webcam: (Due to COVID-19, webcams are in high demand and our normal recommendations below are hard to find and we've seen increased pricing. Your best bet is to check this this page, all Logitech products should be compatible with CharityTracker/Oasis Insight.)
Logitech C270 Webcam, HD 720p ~$22/each
Logitech HD Pro Webcam C920 ~$62/each
Printer – ID Cards as well as reports can be printed from CharityTracker. Any basic printer can be used to accomplish this:
HP OfficeJet 4650 Wireless Printer ~$100/each
HP 63 Black & Tri-color Ink Cartridges ~$35/each
ID Card Printer -- The Badgy 100 Plastic ID Card Printer is now fully tested and compatible with Oasis Insight and CharityTracker. It’s the most affordable ($599) ID card printer we have seen on the market and it works great. Third Party Barcodes
So what’s a third party barcode?
It means you can use barcodes that do not have to be generated in CharityTracker or Oasis Insight. Traditionally you would print the system generated ID card, cut it out, laminate it, then give it to your client. While this is easy and excellent functionality to take advantage of the efficiency of scannable barcodes, it limited you to only be able to use our ID cards.
Now, in addition to the system generated Client ID cards, you can scan any other type of existing barcode to associate it with your client and effectively use that as your new client ID card.

Make sure to click the full screen button ☝️(bottom-right corner to the left of "vimeo")
What types of third party barcodes are supported?
Code 128 or any 1-Dimensional Barcode with NO SPACES.
Pro Tip - Each barcode needs to be unique as cases cannot share the same barcode.
Where can I order "pre-printed" cards?
You can order cards online with a variety of companies or you can contact a print shop local to you. Remember to make sure a unique barcode is printed for every card. We suggest you start your numbering with "1000001".
If you go back to get more cards printed, make sure that you do not duplicate any barcodes that were previously printed. For example, if you got 1000 cards printed starting at "1000001", then your next print order should have cards starting at "1001001".
When working with a company that will be printing your third-party barcodes, it is critical that you require a PDF proof (an example of the design including actual barcodes) BEFORE approving printing. This way you can use that PDF to perform a test of:
Associating one of the sample barcodes with a test case (aka client) in CharityTracker or Oasis Insight using the [ID Card] dialog. (see the video above for instructions).
Once the sample barcode is associated with a test client, go to the homepage of CharityTracker or Oasis Insight by clicking the top-left logo, and scan that barcode to ensure that the associated case pops up.
If steps 1 and 2 succeed, you should be all set to approve printing.
Tip: Share a link to this page with the company you are using for printing.
SCANNER PERFORMANCE
These things can affect your scanner's performance:
Make sure you are using a browser compatible with our Barcode feature, such as Chrome, Firefox, or Safari. EDGE will not give you good performance.
Make sure your scanner is fully charged (if it is a wireless scanner).
Make sure your scanner is properly connected: If corded, check your USB connection. If wireless, you might need to re-scan the set-up barcodes. Bluetooth connection is going to be the slowest type, therefore, we discourage this type of connection.
Make sure your [Caps Lock] key is NOT engaged.
Make sure your internet connection is up to speed. Perform a speed test. If you have trouble running a speed test, then that is probably your answer. A lagging internet impacts your scanner, too. Make sure there is nothing else pulling on your connection, like someone streaming. A HOTSPOT is not going to be a reliable connection.
Currently, iPads are not compatible with our Barcode feature. Our technicians are working towards a solution. They are very close to a solution even now.
