What are the different ways networks can be configured to share case information between partner agencies and/or keep client info private?

a. “Walls Down” - Both the client’s personal information (Name, Address, Date of Birth, Phone, etc.) and assistance records (ie. pounds of food provided) are visible to all agency partners on the network as well as at the network administrator level. Please note a Release of Information form (ROI) is required with this option because client information is being shared outside of the organization that originally entered the client’s case file.

  • PROS: network-wide reports, reducing duplication of services; client information available at the network administrator level

  • CONS: signed ROI required; possibility of “policing” from agency partners

b. “Half and Half” - With this option the client’s personal information (Name, Address, Date of Birth, Phone, etc.) would be visible to all agency partners on the network as well as the network administrator. However, the specific assistance records would be hidden from the view of other agency partners. Network Administrator staff would still be able to view the assistance records so that any duplication of services could be addressed at the Network Administrator level but not at the agency partner level. An ROI form is also required with this option because client information is being shared.

  • PROS: network-wide reports; client information available at the network administrator level

  • CONS: duplication of services likely; signed ROI required

c. “Walls Up” - Both the client’s personal information (Name, Address, Date of Birth, Phone, etc.) and assistance records (pounds of food provided) are hidden to all agencies on the network including the network administrator. The only information that would be visible to an agency partner is the information that *their agency* added to Oasis Insight/CharityTracker. The network administrator would be able to generate anonymous reports of statistics and data but no specific client information would be included. An ROI is NOT required with this option because no information is shared across the network in any way.

  • PROS: network-wide reports, no ROI required

  • CONS: Multiple case files will likely be entered for the same person which would skew network-wide reports; duplication of services likely
